What data we collect
- When you donate: your name, contact details, home address (for Gift Aid), donation details and contact preferences. Payment details are handled by our payment providers.
- When you register for an event or set up a fundraising page: the details on the form, and what you choose to publish.
- When you contact us, complain or apply to volunteer: what you tell us.
- When you sign up for emails: your email address, name and the topics you choose.
- If we need to take extra care, for example because you tell us about your circumstances, a short note so we can support you.
How we use it
- To process your donations, send receipts and manage regular gifts.
- To claim Gift Aid when you’ve made a declaration.
- To keep in touch in the ways you’ve agreed to, and to tell you how your gifts help.
- To answer your questions and complaints, and to arrange volunteering.
- To keep our records accurate and our systems secure.
We do not sell or swap your data, and we do not use automated decision-making that affects you.
Our lawful bases
We process donations to perform our agreement with you, keep Gift Aid and financial records because the law requires it, send emails and texts only with your consent, and may send post or make occasional calls based on legitimate interests, which you can opt out of at any time.
Gift Aid and HMRC
If you make a Gift Aid declaration, we send HMRC your name, house number, postcode and the amounts and dates of your donations so we can claim 25p for every £1. We keep declarations and the related donations for 6 years after the end of the accounting period, as HMRC requires.
How long we keep it
- Donation and Gift Aid records: at least 6 years (legal requirement). Supporter records with no activity for 7 years are reviewed and anonymised.
- Messages from the contact form and volunteer applications: 2 years.
- Complaints: 6 years.
- Records of your cookie choices: 2 years.
Your rights
You can ask for a copy of your data, ask us to correct or delete it, restrict or object to how we use it, or take it elsewhere. You can withdraw consent at any time. We’ll respond within one month and won’t charge you.
